Driver Ivan, working in intercity freight transportation, found a way to use company transport for personal gain, creating fictitious trips and increasing the company’s expenses on fuel and depreciation.

How it happened:

  1. The secrecy of the scheme.  Ivan, taking advantage of the lack of strict control over the routes, declared the need to carry out “additional flights” for urgent orders. In reality, these flights either did not exist at all, or were used to transport private cargo.
  2. “Tweaked” documents.  Ivan provided the dispatcher with a report on the kilometers traveled and the fuel consumed, which he artificially increased. He filled in fictitious data on the cargo in forged consignment notes.
  3. Scale.  For one such “ghost flight” Ivan received a significant amount of cash from private clients, and the company covered all expenses from its budget.

Disclosure:

  • Implementation of Waliot.  The company’s management connected the Waliot platform, which allowed real-time tracking of the location of transport, its routes, mileage and refueling.
  • Data analysis.  The system recorded a discrepancy between the declared flights and the actual routes. In addition, Waliot showed that on “additional flights” Ivan entered unauthorized zones or was idle in unexpected places.
  • Additional evidence:  Photographic recordings made by the system at the beginning and end of the routes confirmed the absence of the cargo that was allegedly being transported.

Results:

  1. Savings:  After the fraud was detected, fuel and depreciation costs were reduced by 34% in the first month.
  2. Simplification of reporting.  Integration of Waliot with accounting eliminated the possibility of document forgery, since all information began to be automatically downloaded from the system.
  3. Employee discipline.  Due to strict control and prompt notification of violations, similar fraud attempts were completely prevented.
